We’re looking for a highly organized, action-oriented Entry-Level Contract Administrator to join our team, a leading SaaS solutions provider. In this role, you’ll play a critical part in supporting our contract operations, ensuring our sales contracts, NDAs, addendums, and vendor forms are meticulously managed and always audit-ready. You will work closely with our Senior Contract Administrator to ensure our contract processes run smoothly and comply with regulations.

- Manage our contracts database: Oversee the organization and maintenance of all sales contracts, including NDAs, MSAs, addendums, and vendor forms, across hard and soft copy systems.
- Ensure compliance and tracking: Consistently adhere to contract tracking protocols, maintain accurate logs, set reminders for key milestones, and support timely reporting.
- Audit and organize files: Regularly audit contract records to verify accuracy and completeness, ensuring easy retrieval and alignment with internal policies.
- Conduct document searches & support reporting: Help locate agreements on request and contribute to building summary reports or dashboards on contract status and expirations.
- Assist with standard contract reviews: Perform first-level reviews of standard form documents to check for completeness before escalation.
- Collaborate cross-functionally: Partner with Sales, Procurement, Legal, and Finance teams to support seamless contract workflows.
Knowledge, Skills, and Abilities:
- Technical Skills: Proficiency with the Microsoft Office Suite, especially.
- Word (drafting and minor edits)
- Excel (tracking, maintaining logs, generating simple reports)
- Outlook (managing correspondence and calendar alerts)
- Time Management & Organization: Strong ability to manage multiple contract records and deadlines simultaneously.
- Database & File Management: Experience maintaining structured folder systems and metadata for easy retrieval.
- Communication: Clear written communication for sending follow-ups and being able to coordinate across departments (sales, legal, procurement, finance).
- Detail Orientation: Accurate data entry into contract tracking sheets and systems. Diligent in tracking version control and ensuring signed contracts are the latest iterations.
- Prior experience (internship or entry-level role) handling contracts, document management, or working with a contracts database.
- Basic understanding of standard contract structures and terminology, with interest in growing your expertise in contract administration
